Why add a watermark to a PDF?

Watermarks serve several important purposes in professional and personal document workflows. Freelancers add "DRAFT" watermarks to proposals to signal that the content isn't final. Businesses stamp confidential contracts and reports to prevent unauthorised distribution. Photographers and designers watermark preview files sent to clients to protect their work before payment. Educators watermark exam papers to track distribution.

Whatever your reason, adding a watermark should be quick, free, and private. You shouldn't need to pay a subscription or hand over sensitive documents to achieve it.

How to add a watermark using Bisnep PDF

Bisnep PDF's Watermark tool lets you add a customisable text or image watermark to every page of your PDF in seconds. Everything is processed in your browser — your document never leaves your device.

1

Open the Watermark PDF tool

Navigate to bisnep.com/watermark-pdf/. No account required.

2

Upload your PDF

Drag and drop your PDF or click to browse. The file loads into your browser locally — it is not uploaded to any server.

3

Configure your watermark

Type your watermark text (e.g., "CONFIDENTIAL", "DRAFT", your company name), or upload an image watermark (e.g., your logo as a PNG). Adjust the size, opacity, rotation angle, and position to your preference.

4

Apply and download

Click Apply Watermark. Your watermarked PDF is ready to download within seconds.

🔒 Why privacy matters when watermarking

Documents that need watermarks — contracts, financial reports, medical records, creative portfolios — are often the most sensitive. Many watermark tools require you to upload your file to a cloud server to process it, meaning your confidential document passes through someone else's infrastructure. Bisnep PDF processes everything locally in your browser, keeping your data entirely under your control.

Text watermark options

When using a text watermark, you have full control over how it appears on your document. The following customisation options are available in Bisnep PDF:

Watermark text — Enter any text up to several lines. Common options include: DRAFT, CONFIDENTIAL, DO NOT COPY, FOR REVIEW ONLY, SAMPLE, APPROVED, your company name, or a client name.

Font size — Control how large the watermark text appears relative to the page.

Opacity — Set how transparent the watermark is, from faintly visible (10–20%) to clearly prominent (60–80%). Most professional watermarks use 30–50% opacity so the underlying document content remains readable.

Rotation — Most watermarks are displayed at a diagonal angle (typically 45°) to cover more of the page and make the text harder to crop out. You can set any angle from 0° to 360°.

Colour — Choose red for CONFIDENTIAL or DRAFT stamps, grey for subtle branding, or any other colour to match your brand guidelines.

Position — Place the watermark in the centre of each page, or tile it across the entire page for maximum coverage.

Image watermark options

For brand watermarks using your company logo, image watermarks are more professional than text. Upload a PNG image (with a transparent background for best results) and it will be placed on every page of your PDF.

PNG transparency is fully supported — a logo with a transparent background will appear floating over the document without a white or coloured box around it. JPEG images are also supported, though they won't have transparent backgrounds.

Tip: For best results, use a PNG version of your logo at a resolution of at least 300×300 pixels. Logos that are too small may appear pixelated when scaled up to fit a full PDF page.

How to add a watermark on Mac (without extra tools)

macOS Preview can add basic text watermarks to PDFs, though with fewer customisation options than a dedicated tool. Open your PDF in Preview, go to Tools → Annotate → Text, type your watermark text, and drag it to position. Adjust the font, size, and colour in the markup toolbar. When done, File → Export as PDF to save.

The limitations of Preview are that the text sits as a flat annotation (not a true semi-transparent watermark across the full page), and it can't easily tile across the entire page. For a professional watermark, Bisnep PDF gives you more control.

How to add a watermark in Word or Google Docs (before converting to PDF)

If your document is still in Word or Google Docs format, it's easiest to add the watermark before converting to PDF.

In Microsoft Word: go to Design → Watermark → Custom Watermark. You can choose a text watermark or a picture watermark and set the transparency, font, size, and layout. Once configured, the watermark appears on every page. Then use File → Export → Create PDF to generate the final watermarked PDF.

In Google Docs: there's no native watermark feature, but you can insert an image or text box, set it to "Behind text" wrapping, and adjust the transparency in the image options. This is a workaround rather than a true watermark, but it produces a similar visual result.

💡 Best practice for watermarking

Always keep an unwatermarked original. Apply watermarks to a copy of the document, not the original. This way you can easily produce different versions — for example, a DRAFT version for review and a FINAL version for signing — without having to remove the watermark from the original each time.
